This policy explains how The Regulated Mind collects, uses, stores and protects personal information. We are based in Sydney, NSW, Australia, and handle personal information in accordance with applicable Australian privacy law.
Information we collect
When you contact us or register for an event, we may collect your name, email address, phone number, organisation, participation preferences and the information you choose to include. When you complete a program questionnaire, we collect your ratings and written feedback. Your name, role, organisation and contact details remain optional unless they are needed to respond, manage your registration or support a publication choice you have made.
Please do not send sensitive medical or personal health information through our website form. If information about accessibility or participation needs is required for a particular experience, we will explain why it is needed and how it will be handled.
How we collect and use information
We collect information directly from you when you use our contact, registration or feedback forms, email us or communicate with us in another way. We use it to respond to enquiries, manage event registrations, discuss and arrange services, evaluate and improve programs, maintain appropriate business records, meet legal obligations and improve how we communicate with you.
We do not use contact form details for marketing unless you have separately asked to receive updates. We do not sell your personal information.
Feedback, testimonials and statistical results
Questionnaire responses remain private by default. We only publish a written comment when you have selected a clear publication option. You may allow anonymous publication or publication with your first name and role. We identify your organisation only when you have separately given permission.
We review every comment before publication and may correct a minor spelling or punctuation error without changing its meaning. Deidentified questionnaire ratings may be combined into statistical summaries. When we publish a statistical result, we identify the number of valid responses and the collection period. We do not publish a response that could reasonably identify you unless you have authorised that attribution.
Contact forms and service providers
Our website contact form is processed by Formspree. Information submitted through the form is sent to Formspree, stored in our Formspree account and forwarded to our business email. Formspree operates in the United States and may process information in the United States and other countries where it operates.
We may also use trusted website hosting, email and administrative service providers where reasonably necessary to operate the business. These providers may process limited personal information on our behalf and are governed by their own privacy and security terms.
Website information and external links
We do not currently use advertising trackers or website analytics. Our hosting and form providers may process basic technical information, such as an IP address, browser type and access time, to operate and protect their services.
Our website links to Instagram, Facebook and YouTube. When you follow an external link, that service will handle information under its own privacy policy.
Storage, security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. Information may be held in our email account, Formspree account and ordinary business records. We retain it only for as long as reasonably needed for the purpose for which it was collected, or as required by law, then delete or securely dispose of it where practicable.
No method of sending or storing information online is completely secure. Please use the contact form only for general enquiries and avoid including sensitive information.
Access and correction
You may ask what personal information we hold about you, request a correction or ask us to delete information where appropriate. Use our Contact page, select General enquiry and write Privacy request at the beginning of your message.
Questions and complaints
If you have a question or concern about privacy, please contact us through our Contact page or at hello@theregulatedmind.com.au. We will review your concern and aim to respond within 30 days. If you are not satisfied and the Australian Privacy Principles apply, you may contact the Office of the Australian Information Commissioner.

We may update this policy when our services, technology or legal obligations change. The latest version and its effective date will always appear on this page.
